Taking clinic and channelling appointments on WhatsApp in Sri Lanka
How clinics, channelling centres, dental and skin practices in Sri Lanka can take bookings, send reminders and shorten phone queues with a WhatsApp assistant, and what it must never do.
Short Answer
A clinic or channelling centre in Sri Lanka can take appointments on WhatsApp by putting an AI assistant on its number, connected to the appointment book. It answers questions about doctors, sessions, fees and timings, books the slot and sends reminders, while staff handle anything medical.
The Phone Queue Problem
Most clinics take bookings through a phone line and a receptionist. At busy times the line is engaged, patients call again and again, and the same person is also checking patients in at the desk. Patients then switch to WhatsApp, where messages pile up on one phone and get answered in batches.
Most of those calls and messages ask the same things:
- -Is Dr. X available this week, and which session?
- -How much is the consultation or channelling fee?
- -What number am I, and what time should I come?
- -Do I need to fast or bring previous reports?
- -Where are you and is there parking?
These are exactly the questions an assistant can answer correctly every time.
What The Assistant Does
- -Shows available doctors and sessions from your actual schedule
- -Books the appointment and gives the patient their number or time
- -Sends a confirmation, and a reminder before the session
- -Handles changes and cancellations so the slot can go to someone else
- -Shares preparation instructions your doctors have approved
- -Replies in English, Sinhala or Tamil, matching how the patient writes
What It Must Never Do
A clinic assistant is a receptionist, not a doctor. It must:
- -Never comment on symptoms, diagnoses, medication or results
- -Give emergency contact details immediately if a message sounds urgent
- -Pass anything medical, sensitive or unclear to staff
- -Never make up a fee, a session or a doctor's availability
These rules should be built in from day one and tested with deliberately tricky messages before patients ever see it.
Cost
As of October 2026, ready-made WhatsApp assistants in Sri Lanka start from about Rs 8,000 a month. WhatsApp's own charge for a reminder is well under a rupee. Fewer missed appointments and a quieter phone line usually matter more than the fee. Our cost guide has the full breakdown.
Patient Privacy
Collect the minimum: name, contact number, the doctor or service, and the preferred time. Keep records in your own appointment system instead of on staff phones. Sri Lanka's Personal Data Protection Act No. 9 of 2022 sets rules on consent and how personal data is handled, and health information deserves extra care.
Where To Start
Go through last month's WhatsApp chats and phone notes and list the twenty questions you answer most. If most are about availability, fees and timings, an assistant will take a large part of that load off reception.

Common questions
Can patients book a doctor's appointment through WhatsApp in Sri Lanka?
Yes. A WhatsApp assistant connected to your appointment book can show a doctor's available sessions, take the patient's details, book the slot and send a confirmation, the same way a receptionist would over the phone.
Can a WhatsApp assistant give medical advice?
No, and it should be built to refuse. A clinic assistant handles bookings, timings, fees, directions and preparation instructions your doctors have approved. Symptoms and urgent cases go to staff, with emergency numbers given immediately.
How much do WhatsApp appointment reminders cost?
Very little. At WhatsApp's October 2026 Sri Lanka rates, a reminder or confirmation costs well under one rupee, and replies to patients who messaged you are free for the first 1,000 a month.
Is it safe to collect patient details on WhatsApp?
Collect only what you need to book, such as name, phone number and preferred doctor or session. Keep it in your own appointment system, not on staff phones, and follow Sri Lanka's Personal Data Protection Act No. 9 of 2022 on consent and data handling.
